The Invoiced Projects Summary report lists how much you invoiced for each project in a period, invoice by invoice, before and after tax. Use it to check what each project was billed in a month, or to export invoiced amounts by project and project tag to a spreadsheet.
Open the report
Go to Reports in the left menu. On the Standard tab, find Invoiced Projects Summary under Finance, or type "invoiced projects" into Search.
Click the report to open it. The parameters are in the panel on the right. Change them, then click Preview to run the report again.
Choose what to include
- Report Currency: Base Currency (the default) converts every amount into your account currency, using the exchange rate saved on each invoice. Customer Currency keeps each invoice in its own currency, and the report is then grouped by currency. See currency conversion in reports.
- Date Range: This Week, This Month, Last Week, Last Month, Last 30 Days (the default: today and the 29 days before it), Last 60 Days, Last 90 Days or Custom Date Range. This Week and Last Week start on the First day of week set in Settings › Timesheet Settings.
- StartDate and End Date: for a custom range, fill in both. Both days are included. If you leave them empty, the report covers all dates.
The dates filter on the invoice's issue date. The report has no other filters, for example by customer, project or status. If no invoices match, it shows No data found.
Read the report
The heading shows Invoiced Projects Summary and the Start Date and End Date you chose. Each row is one project on one invoice: the total of that invoice's lines for the project. For example, an invoice to Fernleaf Media with lines for both Marketing Campaign and Website Care Plan shows as two rows. The newest invoices come first.
Column | What it shows |
|---|---|
Invoice # | The invoice number, with its prefix. |
Issue Date | The invoice's issue date. |
Customer | The customer the invoice is for. |
Subject | The invoice's subject. |
Project Name | The project the lines are linked to, with its project code in square brackets when project codes are switched on. Lines with no project are added up in one row, No Project. |
Project Tags | The project's tags, separated by commas. |
Total Amount without tax | The total of those lines before tax. On tax-inclusive invoices, the tax is taken off first. |
Total Amount including tax | The same lines with their tax. |
Totals depend on the Report Currency:
- Base Currency: a Total row at the bottom adds up both amount columns.
- Customer Currency: the invoices are grouped by currency, in alphabetical order of the currency's name. Each currency's heading row shows its name and its totals. There's no grand total, because amounts in different currencies can't be added up.
What's included:
- Invoices only. Retainer invoices and credit notes aren't included, so a credit note doesn't reduce a project's total.
- Every status counts, drafts and void invoices too. A void invoice still shows the amounts on its lines.
- Amounts are what you invoiced, not what you've been paid. Payments aren't shown.
- The rows don't link to the invoices.
When another report fits better
- Subtotals per project, or filters: use the Transaction Item List report with Primary Grouping set to Project. You can filter it by customer, project, project tag and status, so you can leave out drafts and void invoices. It covers retainer invoices and credit notes too, and each Tran Number opens the invoice.
- One project's invoices: add the Project Invoices widget to the project's Summary view.
- Work not invoiced yet: use the Uninvoiced Items report.
Save, schedule or export
To keep your parameter choices, save the report as your own copy: see saving and sharing reports. On a paid plan, a saved report can be emailed to you on a schedule, for example at the start of each month: see scheduling reports for email delivery. To download the report as a PDF or spreadsheet, see exporting data.
Who can see it
Finance reports are available to Administrators and Finance Managers. If you can't find the report, ask an Administrator to add the Finance Manager role under Assign Roles on your contact record. See managing users and contacts.
The report also needs the Invoices module. If it's switched off, the report isn't listed and can't be run. An Administrator or Finance Manager can switch it on in Settings › General, under Enabled/Disabled Modules. Switching a module off doesn't remove any data. See general settings.
