The Inventory Item Summary report adds up your invoice lines by inventory item: how many you sold, to how many customers, and what they earned. Use it to see which products and services bring in the most, and the margin on each.

Open the report

Click Reports in the left menu. On the Standard tab, find Inventory Item Summary under Finance, or type its name in Search. Change the parameters in the panel on the right, then click Preview to run the report again.

Choose what to include

  • DateRange: a preset such as This Month (the default), Last 90 Days, Year To Date or All Time, or Custom Date Range. The report goes by the invoices' issue dates. Weeks start on the First day of week set in Settings › Timesheet Settings.
  • Start Date and End Date: a preset fills these in. For Custom Date Range, enter your own.
  • Inventory Item and Customer: leave them empty to include everything, or pick one or more. The item list includes hidden items.
  • Display Parameters on Report: print the dates, and any items and customers you picked, at the top of the report.
  • Sort Columns and Sort Order: sort by name, customer count, invoice count, quantity, amount or tax. Without a sort column, the highest sale amount comes first. You can also click the Name, Customer Count, Invoice Count, Qty, Sale Amount or Tax Amount heading to sort, and click it again to reverse the order.

Read the report

A bar chart, By Amount, compares the items' sale amounts. Below it, the table has one row per item and a Total row.

Column

The item. Click the name to see the invoice lines behind it.

Customer Count

How many customers were invoiced for the item.

Invoice Count

How many invoices, retainer invoices and credit notes include it.

Qty

The quantity invoiced.

Cost Price

The item's Cost Price.

Cost Amount

Cost Price × Qty.

Sale Price

Sale Amount ÷ Qty: the average price per unit.

Sale Amount

The item's line amounts added up, after any line discounts.

Tax Amount

The tax on those lines.

Total Amount

Sale Amount + Tax Amount.

Margin

Sale Amount − Cost Amount.

What's included:

  • Invoices, retainer invoices and credit notes, but not drafts or void transactions. Credit note lines count as negative, so they reduce the totals.
  • Every amount is in your account currency, converted with the exchange rate saved on each invoice or credit note. See how Avaza converts currencies in reports.
  • Every invoice line has an inventory item. Time you add to an invoice counts under the Default Inventory Item for Timesheets (the Timesheet item in a new account), with the hours as the quantity, so its Sale Price is your average hourly rate. Expenses count under the Default Inventory Item for Expenses. See invoice and bill settings.
  • Supplier bills aren't included. For items you buy, use the Bill Item List report.

Good to know:

  • Cost Price is the item's cost price now. If you change it, the cost and margin of past sales change too. An item without a cost price shows its whole sale amount as margin.
  • The Total row adds up each column. A customer or invoice with several items counts once for each item, and the Cost Price and Sale Price totals are sums of prices, not averages.
  • On invoices with tax-inclusive amounts, each line's amount already includes its tax. So Sale Amount and Margin include the tax, and Total Amount counts it twice. For amounts before tax, use the Transaction Item List report grouped by Inventory Item. See tax-inclusive and tax-exclusive amounts.

See the invoice lines behind an item

Click an item's name. The Inventory Item Drill report opens with that item's lines, for the same dates and customers. Each line shows the customer and the INVOICE NUMBER: click an invoice or credit note number to open it. ITEM QTY, ITEM PRICE and ITEM AMOUNT are in the transaction's currency (TRAN CURR), and ITEM BASE TAX AMT and ITEM BASE AMOUNT in your account currency. Credit note lines are negative, and the Total row adds up the quantity and the account currency amounts.

To filter and group the lines of several items at once, use the Transaction Item List report.

Save, schedule or export

Click Save As to keep your parameters as a saved report. Choose a preset such as Last Month rather than Custom Date Range, and the saved report works out the dates again each time it runs. See saving and sharing reports. On a paid plan, a saved report can be emailed on a schedule. To download the report as a PDF or spreadsheet, see exporting data.

To export the item list itself, with names, SKUs and prices, Administrators can run Inventory Items in the Exports group.

Who can see it

Finance reports are available to Administrators and Finance Managers. If you can't find the report, ask an Administrator to add the Finance Manager role under Assign Roles on your contact record. See managing users and contacts.

The report is also hidden when Invoices is switched off under Enabled/Disabled Modules in Settings › General. See general settings.
