The Project Fixed Amounts widget lists the fixed amounts on a project's tasks. On a fixed-price project it shows what the work is worth, how much of that is on finished tasks, and how much you've already invoiced. It sits on the project's Summary view. To put fixed amounts on tasks, see managing fixed-price projects.

Add it to a project

  1. Open the project and click the Summary view.

  2. Click Add Widget.

  3. In Add a Widget, click Add to Dashboard under Project Fixed Amounts.

The Summary view shows your widgets on every project, each with that project's figures. Your layout doesn't change anyone else's.

What it shows

Amounts are in the currency of the project's customer. The top row adds up every fixed amount on the project's tasks:

  • Total Fixed Amount: all of them, invoiced or not.
  • Completed Tasks: the ones on tasks in a complete status.
  • Outstanding Tasks: the ones on tasks that aren't complete yet.

Below, the Complete and Outstanding tabs list each task that has fixed amounts, in name order:

Column

What it shows

Task, Assigned To, Due Date

The task, all its assignees and its due date.

Uninvoiced Amount

The task's fixed amounts that aren't on an invoice yet.

Invoiced Amount

The task's fixed amounts already added to an invoice, even a draft.

Total Amount

The two together.

The Project Fixed Amounts widget on its Outstanding tab: $4,300.00 in fixed amounts on three outstanding tasks, $2,000.00 of it invoiced

A task with several fixed amounts shows their sum. Internal projects have no fixed amounts, so the widget stays empty there.

The uninvoiced amounts on the Complete tab are ready to bill: on the customer's invoice, click Add Fixed Amount and leave Completed Tasks Only ticked. See invoicing time, expenses and fixed amounts.

The widget has no filters. Its cog menu has Widget Settings, where you can rename it, and Remove.

Who can see the amounts

The widget needs the Administrator, Finance Manager, Portfolio Manager or Project Manager role. Anyone else, such as a Project Collaborator, sees a lock instead.

  • Administrators and Finance Managers see the figures on every project, Portfolio Managers on the projects they're a member of.
  • A Project Manager sees them only on projects where their membership has both Can manage Project Member Cost & Billable Rates and Can manage Fixed Amounts on project ticked (the project's settings, Members tab, under Project Roles). Without both, the widget shows a message about insufficient privileges. An Administrator, Finance Manager or Portfolio Manager can tick the boxes.
