If a time entry shows 5:30 on the timesheet but 6 hours on the invoice, your account uses timesheet rounding. Avaza rounds each entry as it's added to an invoice. The timesheet keeps its original duration, and reports show the original unless you ask them to round.
Check the rounding setting
Rounding is set for the whole account in Settings › Timesheet Settings, under Timesheet Rounding. Choose a method and an increment in minutes, or no rounding to switch it off. There are two methods:
- Round to the nearest increment: less than half an increment rounds down, half or more rounds up.
- Round up to the next increment: anything past a boundary rounds up.
Administrators, Finance Managers and Portfolio Managers can change it. See how timesheet rounding works for the options and the reports that can round.
How entries are rounded
- Each entry is rounded on its own, before entries are grouped into invoice lines. With rounding up to 30 minutes, three 10-minute entries become 30 minutes each, so a line that groups them shows 1.5 hours, not half an hour.
- Short entries round up. With either method, an entry shorter than one increment becomes one full increment. Entries of zero hours stay at zero.
- Rounding up counts seconds. An entry just a few seconds past a boundary goes up to the next increment.
- It applies wherever time is invoiced: Add Time, recurring invoices that include unbilled time, and invoices created through the API. Time added to supplier bills is rounded the same way.
Why 5:30 became 6 hours
Say rounding is set to round up to the nearest 30 minutes, and someone tracked 5 hours, 30 minutes and 20 seconds with a timer.
- Timers record time to the second, but the timesheet shows hours and minutes, rounded to the nearest minute. So the entry reads 5:30. From 30 seconds over, it would read 5:31. If your timesheets show decimal hours, it reads 5.51.
- Rounding sees 20 seconds past 5:30 and rounds up to the next 30-minute boundary. The invoice line's quantity is 6.
To find entries like this, run the Timesheet Details report with Duration Decimal Places set to 4: the example shows as 5.5056. Tick Rounding in the same report to see the hours as an invoice would show them.
What you can do
- Retype the duration, for example 5:30, before you add the time to an invoice. This removes the extra seconds, as long as the entry can still be edited.
- Change the quantity on the invoice line before you send the invoice. The timesheet doesn't change.
- Round to the nearest increment instead, if a few seconds shouldn't add a whole increment. Changing the setting doesn't change invoices you've already created.
