Avaza's native Xero integration copies your invoices to Xero as you create and update them, so you don't type them twice. It can copy payments in either direction too. An Administrator sets it up once, in the App Marketplace.

Set it up

  1. Go to Settings › App Marketplace, click Xero and click Connect.

  2. On the Settings tab, click Grant Access to Avaza. Then click Connect to Xero and choose your Xero organisation.

  3. Set the Integration Start Date for Invoices, and tick When an Invoice is created or updated in Avaza, create or update an Invoice in Xero.

  4. Choose the Default Revenue Account and the statuses to copy, decide on Automatic Invoice Number, and choose which way payments are copied.

  5. Under Map Tax Codes, choose a Xero tax rate for every Avaza tax you use, including No Tax.

  6. Click Save Settings, then Start Sync and Sync Now.

The Xero integration guide explains every setting. The integration syncs supplier bills as well.

Which invoices are copied

  • Invoices created after the start date and time. Older invoices never sync, even if you edit them later, so add those in Xero yourself.
  • Only invoices in the statuses you chose: Draft, Sent, Partially Paid or Paid. Void invoices aren't copied, and voiding or deleting an invoice in Avaza doesn't change its copy in Xero.
  • Whenever an invoice is created, updated or sent while the sync is on. Sync Now runs it straight away, even when it's paused.
  • Not retainer invoices or credit notes. Invoices that draw on a retainer are copied. See retainer subscriptions.

Customers and inventory items that aren't in Xero yet are created there. Make any change to a synced invoice in Avaza, not in Xero: edits made in Xero don't come back, and once a payment is applied in Xero, later edits in Avaza aren't copied either.

Check that an invoice synced

On the Xero app's Settings tab, Last Invoice Sync shows when the sync last ran. Click View Details on the Activity Log panel to see each invoice it handled, with a status of Ok or Error. From a synced invoice in Xero, Go to Avaza Integration opens it in Avaza. If you're signed out of Avaza, the sign-in page opens first.

If an invoice is missing or shows an error, see troubleshooting the Xero integration.
