1. What is Subtask Time & Estimate Roll-up?
This feature lets parent tasks show combined Estimate, Actual, and Remaining values that include the time and estimates of all their subtasks.
The roll-up is recursive, so subtasks that have their own subtasks are also included.
2. Do I need to turn it on?
No. There is no setting to enable. The roll-up is always on and appears automatically for any task that has one or more subtasks.
3. What values are included in the roll-up?
For a task with subtasks:
- Total Estimate = the task’s own Estimate + the Estimates of all its subtasks
- Total Actual = the task’s own Actual + the Actuals of all its subtasks
- Remaining = Total Estimate − Total Actual
For example:
Parent
Estimate: 10:00
Actual: 8:00
Subtask
Estimate: 4:00
Actual: 3:00
The parent displays:
Total Estimate: 14:00
Total Actual: 11:00
Remaining: 3:00
4. Are nested subtasks included?
Yes. The roll-up includes subtasks at every level, not just the immediate subtasks.
5. Do completed subtasks count towards the totals?
Yes. Completing a subtask does not remove it from the parent’s totals. Its Estimate and Actual continue to be included.
6. What happens if a subtask doesn’t have an estimate?
A subtask without an estimate adds 0:00 to the Estimate total.
Any time logged on that subtask is still included in the Actual total.
7. Can Remaining time be negative?
Yes. If Actual time is more than the Estimate, Remaining becomes negative.
For example:
Estimate: 5:00
Actual: 7:00
Remaining: -2:00
Negative Remaining values are shown in red.
8. Where can I see the roll-up?
The roll-up is available in three places:
- Project → List view: in the tooltip when you hover over the time column
- Project → Board view: in the tooltip when you hover over the time section of a card
- Task details → Time tab
The Time tab shows the roll-up wherever you open a task, including from My Tasks and All Tasks. The tooltips in My Tasks and All Tasks are unchanged and do not show roll-up values.
9. What is shown when I hover over the time column?
For a task with subtasks, the tooltip shows three rows:
- This task: the task’s own figures
- All subtasks (N): the combined figures for all subtasks at every level, where N is the number of subtasks
- Total: this task plus all subtasks
Each row shows Estimate, Actual, and Remaining.
Tasks without subtasks show the same tooltip as before.
10. How does the Board show roll-up values?
Board cards continue to show each task’s own Estimate, Actual, and progress bar.
To see the roll-up, hover over the time section of a card. This shows the same tooltip as the List view (This task, All subtasks, Total).
A parent task that has no estimate of its own still shows a time section (with “-” values), so you can hover over it to see its subtask totals.
11. What does the Time tab show for a task with subtasks?
The Time tab shows three sections, each with its own progress bar:
- THIS TASK: the task’s own Estimate, Actual, and Remaining
- ALL SUBTASKS (N): the combined figures for all subtasks
- TOTAL: this task plus all subtasks
The figures update when you change the estimate or add, edit, or delete a timesheet entry.
12. Does editing the parent’s Estimated Effort change the subtasks?
No. The Estimated Effort field on the Time tab changes only that task’s own estimate. It does not change any subtask estimates.
13. Are timesheet entries from subtasks shown in the parent’s timesheet list?
No. The timesheet entries list on the Time tab shows only entries logged on that task (labelled “on this task”).
Time logged on subtasks is included in the ALL SUBTASKS and TOTAL figures, but those entries are not listed individually on the parent.
14. Do filters or user permissions change the totals?
No. The totals always include every subtask, even if it is hidden by an active filter or the user viewing the task cannot open it.
15. Will Section and Project totals change?
No. Section and Project totals are calculated the same way as before, and subtask time is not counted twice.
16. Will reports include the new roll-up values?
No. Timesheet reports and task reports are unchanged and do not include roll-up values.
17. Will the API return the rolled-up Estimate and Actual?
No. The existing API fields continue to return the task’s own values:
- EstimatedEffort
- ActualTime
The roll-up does not replace or change these fields.
18. Will the roll-up affect budgets or invoicing?
No. The roll-up is display-only and does not affect:
- Budgets
- Billable amounts
- Invoicing
19. What happens if I move a subtask to another parent?
The totals update to match the new structure. The previous parent’s totals no longer include the moved subtask, and the new parent’s totals do.
20. What happens if I delete or restore a subtask?
Deleting a subtask removes its time and estimate from the parent’s totals. Restoring the subtask adds them back.
21. What happens if I move a parent task to another project?
Its subtasks move with it, and the roll-up totals stay the same in the new project.
