The Accumulated Project Time / Cost widget shows how a project is tracking against its budget. It charts what the project has used so far and the time scheduled ahead, and sums up its time, expenses and invoicing.

Add the widget

  1. Open the project and choose its Summary view.

  2. Click Add Widget.

  3. In the Add a Widget library, click Add to Dashboard under Accumulated Project Time / Cost.

Move, resize, rename and remove it as you would on your account dashboard. You can add it more than once with different settings, for example one copy that counts approved time only. Your layout is your own, and each Summary view keeps its own widgets.

The charts

The Accumulated Project Time / Cost widget for a Person Hours project: the running total of hours rising towards the budget line, a dashed line for scheduled time ahead, the current week shaded, and the budget, timesheet, expense and invoicing figures below
  • Project Cost v Budget draws a running total of what the project has used. A dashed grey line continues it with the time scheduled for the project in future, so you see early whether it will go over. On a money budget, future bookings are valued at the cost rates (the category's, or else the person's), or at the billable rates on a Total Project Fees project set to Billable Rate. A red line marks the budget, a green line the Budget Threshold, and the current week is shaded. Point at a day for the budget, spent and remaining figures.
  • Hours per Week shows the hours tracked each week, billable in dark blue and non-billable in light blue, so unusual weeks stand out. Weeks start on the first day of the week set in Settings › Timesheet Settings.

The Budget Threshold is the budget times the project's budget alert percentage (Alert at … % of budget consumed). The line uses the percentage saved on the project, even when Budget alert isn't ticked. See project budget alerts.

For Total Project Fees and No Budget projects, the budget chart and figures are in money, in the customer's currency:

  • Total Project Fees: the budget is the project fee plus any expense category budgets.
  • No Budget: the budget is the billable value of the time tracked (hours × the billable rate saved on each entry) plus any expense category budgets. On a Not Billable project, only the expense category budgets count.

For Total Project Hours, Person Hours and Category Hours budgets they're in hours, and the first chart is called Project Hours v Budget. See entering a project budget.

The figures

  • Budget: the Budget Amount, Budget Type, Spent Amount and Remaining Amount. For hours budgets: Budget Hours, Spent Hours and Remaining Hours.
  • Timesheets: the hours tracked, split into Billable Hours and Non-Billable Hours.
  • Expenses & Bills: the total, split into Billable Expenses, Non-Billable Expenses and Non-Billable Bills. Amounts exclude tax and are converted to the customer's currency, bills from suppliers in other currencies too. Non-Billable Bills counts the bill lines linked to the project, except lines that bill a supplier's tracked time, which already count as time.
  • Total Uninvoiced: billable time (at the billable rate saved on each entry), billable expenses and fixed amounts that aren't invoiced yet. It's worked out like the Project Uninvoiced Items widget, but follows this widget's approval status settings.
  • Total Invoiced: the invoice lines linked to the project, minus credit note lines, excluding tax. Draft invoices count; voided ones don't. Total Retainer is the same for retainer invoices.
  • Create Invoice starts an invoice for the project's customer.

Settings

Click the cog on the widget and choose Widget Settings:

  • Title: rename the widget.
  • Only deduct billable timesheet hours (hours budgets): Yes counts only billable hours as spent, and only future bookings in billable categories. No by default.
  • Deduct Timesheets from budget based on (Total Project Fees and No Budget): Cost Rate (the default) or Billable Rate.
  • Deduct Expenses & Bills Amount from budget (Total Project Fees and No Budget): Yes counts expenses and bills as spent too. No by default.
  • Timesheet Approval Statuses (Draft, Pending, Approved, Automatically Approved, Rejected, Invoiced) and Expense Approval Statuses (Draft, Verified, Pending Approval, Approved, Automatically Approved, Rejected): count only entries in these statuses, everywhere in the widget. Leave them empty to count every status. Invoiced time counts as Invoiced, not under its approval status, so include Invoiced when you filter.
  • Time Format: hh:mm (the default) or decimal.

The lists don't preselect these defaults the first time you open Widget Settings, so check each setting before you click Save. The settings only change this copy of the widget, not the project's budget or its budget alerts.

Who can see it

Administrators, Portfolio Managers and Project Managers can add the widget. Portfolio Managers and Project Managers see it on the projects they're members of. Finance Managers, Project Collaborators and Timesheet/Expense Users can't add it: the library shows it locked.
