How to Copy Bookings in Resource Scheduling

You can now copy any booking on the Team Schedule or Project Schedule and paste it onto another day, another person, or several people at once. It’s the quickest way to fill a schedule when team members work on the same project, or when the same booking repeats across the month.

Copy a booking

  1. Go to Scheduling and open the Team or Project tab.
  2. Right-click the booking you want to copy.
  3. Select Copy.

You’re now in copy mode. You’ll see:

  • A dashed outline around the booking you copied.
  • A copy pointer in place of your usual cursor.
  • A bar at the bottom of the page describing what you copied, e.g. 2h/day ยท 4 working days, with a Cancel link.

To leave copy mode, right-click any day and select Stop copying, or click Cancel or press Esc.

Paste the booking

While in copy mode, you can paste as many times as you like:

  • Click any day cell to paste the booking for that person, starting on that day.
  • Right-click any day cell and select Paste here.

The pasted booking keeps the same project, task, timesheet category, hours per day, length and details as the original. Clicking and dragging across empty cells still creates a new booking as usual.

Copy mode stays on until you click Cancel, press Esc, copy a different booking, or switch tabs.

Paste for several people at once

  1. With a booking copied, right-click a day cell and select Paste for several people…
  2. The person whose row you clicked is already selected. Add anyone else who needs the same booking.
  3. Check the start date and confirm.

A copy of the booking is created for each person you selected.

Copy by dragging

For a faster copy, hold Ctrl (Windows), Alt or Cmd (Mac) and drag a booking to a new day or person. A Copy badge appears while you drag. When you release, a copy is created and the original booking stays where it was.

Dragging without holding a key moves the booking as before.

How pasted bookings are calculated

  • Working days: A pasted booking covers the same number of working days as the original. If you paste onto someone’s day off, the booking starts on their next working day and a message lets you know.
  • Bookings scheduled on days off: If the original booking has Schedule on Days Off turned on, the copy keeps the exact calendar span. The copy bar shows this as, e.g., 6 days incl. days off.
  • Recurring bookings: Copying one occurrence of a recurring booking pastes a single, non-recurring booking of the same length.

Things to know

  • Leave: Leave bookings can be copied the same way as project bookings, but can only be pasted on the Team Schedule.
  • Pasting onto a different project (Project Schedule): The task isn’t carried over, and the timesheet category must exist in the destination project.
  • Usual rules apply: Pasting follows the same rules as Add Assignment. For example, the person must be a member of the project. If a paste isn’t allowed, you’ll see a message and no booking is created.
  • Permissions: Copying and pasting requires a Resource Scheduling role that lets you add bookings (for example, Schedule User).
  • Mobile and touch devices: Copying isn’t available on touch devices yet.
