Yes. Record the amount you received, even when it's less than the invoice total. Avaza marks the invoice Partially Paid and keeps track of what's still owed until later payments cover the rest.

Only Administrators and Finance Managers can record and apply payments.

Record a partial payment

  1. Open the invoice and click Record Payment.

The button shows until the invoice is paid in full.

  2. Change the Payment Amount to the amount you received. It starts at the full balance.

  3. Check the Payment Date, which can't be in the future. Add the Payment Source, Reference # and Notes if you like.

For an invoice in a currency other than your account's, check the Exchange Rate too.

  4. Click Save Payment.

The invoice becomes Partially Paid (Partial in the Invoices list), and its balance shows what's left. Record the next payment the same way. Once nothing is owed, the invoice is Paid.

The Invoices list for Fernleaf Media: INV 2049 is Partial, with $3,000.00 paid and a balance of $3,050.00

What your customer sees:

  • Recording a payment doesn't email your customer. To send a receipt, tick Email a 'Thank you' note for this payment before you save. See thank-you notes.
  • The online invoice lists each payment and shows the new Amount Due.
  • Automatic reminders carry on while an invoice is Partially Paid. Their [Amount Due] placeholder shows what's still owed.

Customers who pay online can pay part of an invoice themselves. See partial online payments.

Split one payment across several invoices

When a customer pays several invoices at once, record one payment, then allocate it.

  1. Go to Invoices › Payments and click Record Payment. Choose the customer and click Create.

  2. Enter the Payment Date, Payment Amount and any other details, then click Save Payment.

  3. Open the payment and click Apply to Invoice.

  4. Type an Amount to Allocate next to each invoice, then click Apply Payment.

You can also work from each invoice: choose Actions › Apply Existing Payment, type the amount to take from the payment, and click Apply Payment.

Whatever you don't allocate stays on the payment as its Available Balance, ready for a later invoice. The same happens when you record more than an invoice's balance with Record Payment: the invoice is paid and the rest stays on the payment.

A payment can only go to invoices for the same customer, in the same currency. You can't allocate more than the payment has available, or more than an invoice still owes.

Take a payment off an invoice

Taking a payment off an invoice never deletes the payment. On the invoice, each payment shows as Less payment with its number and date, followed by a remove link. Click it and confirm: the amount comes off the invoice and goes back onto the payment's Available Balance, and the message "Payment removed" appears. The invoice shows that amount as owed again. The payment stays under Invoices › Payments with the status Open, ready to apply to another invoice or delete. You can also click remove next to an allocation on the payment itself.

The totals of an invoice: Total Amount $5,500.00, less payment PAYM 69 on 18 Sep 2026 with a remove link, and Amount Due $0.00

To delete a payment for good, open it from Invoices › Payments, remove every allocation, then choose Actions › Delete. Only a payment that isn't allocated to any invoice can be deleted, and deleted data can't be recovered.

An invoice with payments or credit notes on it can't be voided, deleted or reverted to draft. Take them off first.
