An invoice line for an expense starts from the expense amount, but Avaza can convert it, add markup and take out tax before it reaches the invoice. So the line doesn't always match the amount in a report.
To check an invoice, run the Expense Details report with the Invoice filter set to that invoice. Then add the customer-currency columns to it.
Compare the customer-currency columns
The report shows each amount three ways: in the currency the expense was paid in (Tran Currency), in the customer's currency (Cust Currency) and in your account currency (Base Currency). An invoice is in the customer's currency, so compare it with the (Cust Currency) columns.
When an expense is saved, its customer-currency amount uses the exchange rate for the expense date. When you add the expense to an invoice, Avaza replaces that rate with the invoice's rate, or with the rate you entered under Override Exchange Rate. Run the report after the expenses are on the invoice, so it shows the same rate. See how Avaza converts expenses.
What else changes the amount
- Markup. If the expense category has a markup, it's added to the invoice line. The report's totals leave it out, so add the Markup Amount (Cust Currency) column. See adding markup to expenses.
- Tax. When the invoice's Amounts are setting is Tax Exclusive, the line price is the amount before tax, and the tax is added to the invoice total. Compare it with Before Tax (Cust Currency). On a Tax Inclusive invoice, the price includes tax, so compare it with Total Amount (Cust Currency). There, a percentage markup is also worked out on the amount including tax, while the report works it out before tax.
- Grouping. If you added the expenses with Project & Category grouping, one line holds several expenses. Group the report by Project, then Category, and compare the line with the subtotal.
- Discount. A Default Discount on the invoice applies to the lines you add after setting it.
- Edits. A line's Unit Price, Discount and Tax can be changed after it's added. The report still shows the expense itself.
- Rounding. Line prices are rounded to the decimal places of the invoice's currency.
